CIPC Implements eServices Validation to Prevent Duplicate Profiles
Brought to you by SA Accounting Academy: The Companies and Intellectual Property Commission (CIPC) has updated its eServices system to enforce stricter customer validation rules and eliminate duplicate contact details across profiles.
Under the administrative mandate of the Companies Act, No. 71 of 2008, the CIPC issued Notice 41 detailing enhancements deployed to its eServices portal. The automated validation check now assesses whether the email address or cellphone number submitted during new profile registration or existing profile maintenance is already allocated to another registered user.
Where the portal detects shared contact information, the system returns an error message indicating that the email address or mobile number is already linked to an active account. Affected users must provide distinct, unlinked contact details to proceed with profile creation or amendment.
Key compliance points regarding the system validation include:
- Unique identifiers: Each individual CIPC customer account must maintain an exclusive, unshared email address and mobile contact number.
- Registration barrier: Profile submissions containing duplicate contact records will be rejected at the validation stage.
- Data integrity: The control is intended to secure access controls and prevent cross-profile contamination across statutory company filings.

What this means for you, your business, or your clients
- For yourself: Ensure your individual practitioner CIPC login is registered using a dedicated, unique email address and mobile number rather than a shared departmental mailbox.
- For your business: Audit internal staff registrations and eliminate shared firm credentials; assign unique firm emails to individual filing clerks to prevent profile update rejections.
- For your clients: Advise directors and company officers that client-side CIPC customer profiles require unique direct contact details before statutory filing delegations can be processed.
